Assessment Collection
We develop a billing cycle based on your governing documents and the needs of the association. Invoices are generated in our office and mailed to each member. Reminder letters and late notices are designed to generate results. Every payment received is processed in our office. Check numbers are recorded in our system and copies of every check are made and filed before being promptly deposited. Having this type of information at our fingertips helps us provide the best customer service to your members. It also makes it very easy to audit the accounts receivable function.
Accounts Payable Processing
Every invoice that we pay on behalf of an association is subject to an extensive verification process based on the requirements established by the association. Invoices are compared to vendor contracts to ensure accuracy. System checks allow us to compare current and previous invoices to determine if an invoice requires further review. Copies of every check and invoice are filed in date order for audit purposes. User friendly reports allow the board to quickly and easily monitor the accounts payable process.
Reporting
Board members need to be on top of every aspect of the association. The flexible design of our state-of-the-art system allows us to generate reports to meet each association’s specific requirements. Monthly financial reporting packages are produced during the first week of every month for the prior month’s activity. We will send the packages via e-mail, mail, web download or any other manner specified by the board. You can be assured that you will have up-to-date information at your fingertips.

Covenant Enforcement and Common Area Maintenance
Though our relationship with Subdivision Services we are proud to include complete covenant enforcement and common area maintenance to associations requiring these services. Utilizing the same state-of-the-art system that manages the financial business of the association, board members will have access to the current status of each covenant violation. The system is designed specifically for each association based on the requirements of the governing documents and the needs of the association. The end result is successful enforcement of the covenants, higher property values and a more enjoyable community. Subdivision Services has extensive experience with bidding out maintenance contracts, monitoring vendor performance and managing amenity and common areas so they remain well maintained.
